Tips For Recording A Voicemail Greeting
our
voicemail greeting is a great way to market your company. To some
callers, this may be the first point of contact they have with you, so
make sure it sounds like a legitimate business operation.
Here are 8 tips that will help you record
a successful voicemail
greeting:
- Write a script. A scripted greeting ensures that all of your
company’s important information is delivered in a way that makes
sense without awkward pauses or stumbles. Practice your script so it
flows smoothly when it’s time to record.
- Sound professional. Remember, this may be the first point of
contact, so use a professional tone and stay away from jokes, sound
effects and gimmicks. Although they may be funny to you, they could
backfire.
- Music is a great way to compliment your greeting. What you don’t
want to do is have music playing in the background while recording
your greeting. It could end up sounding like the music was an
afterthought. If music is desired, talk to an audio production
company that can professionally produce a greeting for you.
- Keep your voicemail greeting current. If your hours change
frequently or you’re going to be out of the office, make sure the
greeting reflects your schedule.
- Provide alternate contact information. This could be your cell
phone number or an email address that gives callers another way to
reach you if you’re out of the office.
- Include a fax number. You may get callers that just need to fax
information, so making that number available in your greeting keeps
callers from having to wait for a call back and reduces the number
of return phone calls you have to make.
- Give callers a way out. Some callers may just want to leave a
message. Let them know if your system allows them to bypass the
greeting by pressing the pound (#) or the asterisk (*) symbol.
- Holiday greetings. It's a good idea to produce holiday greetings
that inform callers of special hours, rates or changes in service
due to holidays.
